Rules of Engagement
Welcome to the ERHHG 2025 Conference. These Terms and Conditions apply to your engagement with this conference, including, but not limited to services purchased from this website, and govern the contractual relationship between you, the participant, and the Conference Organisation Committee (COC) at The University of Duhok. By registering or participating in this conference, you agree to comply with the following terms and conditions.
1. Conference Registration and Participation
Authors of accepted papers are required to register, attend, and present their research at one of the conference sessions. Only papers that are presented will be included in the official Book of Abstracts and Conference Proceedings.
All participants, including presenters, are responsible for covering their registration fees as per the fee structure outlined on the Registration page. Registration includes access to all conference sessions, exhibition areas, ceremonies, and designated refreshments.
The official language of the conference is English. All submissions, presentations, and communications related to the conference must be conducted in English.
2. Submission and Publication Guidelines
Each participant may submit and present up to two abstracts. Accepted abstracts and their corresponding full-text papers will be published in the conference’s Book of Abstracts and Proceedings, available in PDF format on our website after the conference.
Submissions must be original, adhere to the conference themes, and meet academic standards for research papers. Any previously published or accepted work will not be considered for presentation or publication.
Only abstracts and full-text papers of presented works will be included in the official conference publications.
3. Privacy and Data Collection
This privacy policy explains how we collect, use, and protect your Personally Identifiable Information (PII) when you engage with our website or register for the conference.
Information Collection: When registering, we may collect information such as your name, email address, mailing address, phone number, and payment information to facilitate your conference experience.
Use of Information: We use this information to process registrations, communicate updates, and enhance your experience with our services.
Security of Information: We employ industry-standard security measures, including SSL encryption for sensitive data and secure network access controls, to safeguard your personal information. All payment transactions are processed through a PCI-compliant external payment gateway; no payment information is stored on our servers.

4. Visa Support and Travel Requirements
The Conference Organisation Committee does not provide visa support letters or travel assistance. Participants are responsible for securing their own travel documents and accommodations.
Upon abstract acceptance, participants will receive an official Acceptance Letter, which may support your visa application if required by your country’s immigration policy. However, the Acceptance Letter does not guarantee visa approval.
5. Third-Party Links and Services
The conference website may provide links to third-party sites or services for information purposes. We are not responsible for the content, privacy policies, or practices of any third-party sites. Participants are advised to review the terms of use and privacy policies of any third-party services.
6. Cancellation and Refund Policy
All cancellations must be submitted in writing via email to the conference’s official contact. Refunds may be provided in cases of early cancellation (before a specific date) but may be subject to an administrative fee. After a certain date, all fees are non-refundable, except in cases of force majeure.
7. Limitation of Liability
The COC at The University of Duhok is not liable for any direct, indirect, or incidental damages arising from participation in the conference, including but not limited to personal injury, property loss, or delays caused by unforeseen circumstances.
Participants are encouraged to secure travel insurance to cover any unexpected travel interruptions or medical emergencies.
8. Changes to Terms and Conditions
The Conference Organisation Committee reserves the right to amend these Terms and Conditions at any time. Participants will be notified of any major changes, and the latest version will always be available on our website.
